We are seeking a dedicated professional to join our team as a Supply-Chain Admin / Customer Service Desk Officer I, contributing directly to our vital mission.
About the Role: Supply Chain / Customer Service Desk Officer I
As a Supply Chain / Customer Service Desk Officer I, you will play a crucial role in ensuring that all requests are handled with efficiency and effectiveness, directly supporting our operations in the field. Your work will involve making essential information about potential or firm orders accessible to both logistics staff and those who require our services. This position is central to the smooth functioning of our humanitarian supply chain.
Key Accountabilities & Functional Responsibilities:
- Receive, upload, process, and attribute Supply Requests (SR) within the JDE ERP system and other requests received via our Service and Task Management (STM) database.
- Manage the entire lifecycle of SRs within your Area of Responsibility (AOR), ensuring all relevant information is sent, received through STM, and properly filed, including all correspondence with stakeholders.
- Collaborate with purchasers to clarify item sourcing and ensure correct item codes are used, making necessary adjustments and informing customers.
- Forward SRs to Warehouses (WHS) or other Logistics sources when required, and meticulously follow up until shipment arrival.
- Maintain SRs in the staging process until sourcing and lead times for all items are confirmed, applying this diligence to validated Field Requisition Orders.
- Proactively manage scheduled pick dates and promised delivery dates based on sourcing (local, regional, WH delivery, or upstream supply).
- Systematically review SRs for accuracy, in constant communication with the customer, before submitting them for approval.
- Establish and maintain robust documentation processes for tracking and monitoring each SR, ensuring timely updates and file closure.
- Follow up on incoming upstream orders to determine lead times and arrival dates, providing clearer information to customers.
- Manage orders and requests comprehensively until all lines are fully dispatched and delivery is confirmed.
- Process orders according to the organizational chart flow and manage internal requests within set thresholds.
- Treat all internal requests (IR) and secure necessary approvals before forwarding to the Purchaser.
- Ensure the JDE Orders Follow up table contains accurate information, collaborating with other units to maintain data integrity.
- Report any problems, claims, or unusual requests concerning open orders to the logistician daily and without delay.
- Provide regular updates to requesters regarding the status of their orders.
Certifications / Education & Experience Required:
- A University degree or a technical degree with equivalent experience in logistics, administration, or a related field.
- Typically, three to five (3-5) years of overall professional experience.
- At least three (3) years of previous experience in administration or within a supply chain/logistics department.
- Good command of both spoken and written English and the local working language.
- Computer literacy, with good knowledge of Microsoft Office applications.
- Knowledge of enterprise resource planning (ERP) software is a significant asset.
- Good knowledge of supply chain processes.
