Slum2School Africa, a leading volunteer-driven developmental organization, is seeking a dedicated HR and Admin Executive (Executive Assistant to the Executive Director) to join our impactful team.
About Slum2School Africa: Empowering Futures
Founded in 2012, Slum2School Africa is driven by a profound vision: to transform society by empowering disadvantaged children to realize their full potential. We firmly believe that Africa's most precious resource is its children, and we are committed to addressing the severe shortcomings in the educational sector across the continent.
Our work involves providing critical educational scholarships, creating conducive learning spaces, and offering essential psychosocial support to vulnerable children residing in slums and indigent communities. By focusing on holistic development, we aim to break cycles of poverty and unlock a brighter future for these young minds.
The Opportunity: Executive Assistant to the Executive Director
This pivotal role, titled HR and Admin Executive but functionally operating as an Executive Assistant, offers a unique opportunity to work alongside our Executive Director (ED) and contribute directly to the strategic and operational efficiency of our mission. You will be instrumental in ensuring the ED's office runs seamlessly, enabling our leadership to focus on high-level strategy and organizational growth. This is more than just an administrative role; it's a chance to be at the heart of our operations, supporting initiatives that change lives.
Key Responsibilities: Driving Efficiency and Impact
As the Executive Assistant to the ED, your responsibilities will span across several critical areas, requiring a blend of administrative prowess, strategic thinking, and exceptional interpersonal skills:
- Executive Support: You will be the linchpin for the ED's schedule, meticulously managing calendars, appointments, travel arrangements, and meeting logistics. This includes screening and prioritizing communications, preparing comprehensive briefing materials, agendas, minutes, and ensuring timely follow-ups. You will also be entrusted with drafting high-level correspondence, presentations, and reports, all while maintaining the strictest confidentiality and handling sensitive information with utmost discretion.
- Administrative Support: Your organizational skills will shine as you take charge of organizing and maintaining the ED's digital and physical filing systems. You will play a crucial role in tracking project deadlines, deliverables, and internal commitments, ensuring that nothing falls through the cracks. Coordinating essential team meetings, board meetings, and various events facilitated by the ED's office will also be a key part of your portfolio, alongside managing internal approvals and administrative sign-offs.
- Stakeholder Engagement: This role requires a strong ability to build and maintain relationships. You will serve as a primary liaison with our key partners, esteemed board members, generous donors, dedicated volunteers, and other vital stakeholders. Coordinating strategic meetings and engagements involving the ED, and supporting robust donor and partner communications, documentation, and reporting, will be central to fostering our valuable external relationships.
- Strategic and Operational Support: Beyond day-to-day administration, you will contribute strategically by providing research and analysis support to aid executive decision-making. You will monitor the progress of special projects and organizational priorities, working collaboratively across departments to ensure alignment with the ED’s directives. On occasion, you may represent the ED at internal meetings, showcasing your leadership potential.
