We are currently seeking a highly organized, detail-oriented, and proactive Document Controller to join our dynamic team. This critical role ensures the seamless management, control, and distribution of all project-related documentation, forming the backbone of efficient project communication and execution.
The Role: Document Controller
As a Document Controller at SEEPCO, you will be instrumental in maintaining the integrity and accessibility of our project documentation. Your expertise will support our project teams in managing vast amounts of information, ensuring that all documents are properly filed, tracked, and distributed according to established protocols. This position is ideal for an individual with exceptional organizational skills and a keen eye for detail, ready to contribute significantly to our operational efficiency.
Key Responsibilities:
- Comprehensive Document Management: Maintain and manage all project-related documents in an organized and secure manner, ensuring easy retrieval and compliance.
- Register and Log Maintenance: Create, track, and diligently update document registers and logs, utilizing Microsoft Excel for efficient data management and reporting.
- Accurate Document Transmittals: Prepare and issue precise document transmittals for both internal teams and external stakeholders, facilitating timely information exchange.
- Version Control Assurance: Implement and enforce proper version control measures for all documents, preventing duplication, loss of information, and ensuring that the most current versions are always in use.
- Information Flow Management: Efficiently receive, distribute, and meticulously archive incoming and outgoing project documents.
- Project Team Support: Provide essential documentation support to project teams for meetings, reports, and critical approval processes.
- Stakeholder Coordination: Collaborate closely with engineers, project managers, and vendors to ensure timely document submission, review, and approval, maintaining project schedules.
Who We Are Looking For (Qualifications):
We are searching for a candidate who not only meets the technical requirements but also embodies a proactive and meticulous approach to document management:
- Educational Background: A minimum of a B.Eng. or Bachelor’s Degree in Business Administration or Engineering is required.
- Microsoft Excel Proficiency: Strong proficiency in Microsoft Excel, including advanced skills in sorting, filtering, formula application, and basic reporting, is essential.
- Document Control Experience: Demonstrated experience with document control systems or a proven track record in managing project documentation processes.
- Transmittal Management: Ability to accurately create and manage document transmittals is a key requirement.
- Organizational Acumen: Exceptional organizational and time management skills are paramount to succeed in this role.
