Overview

This isn't just any administrative role; it's a pivotal position supporting our global client base from anywhere in the world. As our Client Services Coordinator, you’ll be instrumental in upholding the integrity of our master client data, managing crucial certification processes, and ensuring regulatory compliance. You'll work closely with internal teams, playing a vital role in our commitment to excellence and global standards, ultimately contributing to a safer and more sustainable world.

Key Responsibilities

Create and maintain client master data, ensuring full compliance with process rules, regulatory frameworks, and best practices, specifically for schemes like ISO 13485 and ISO 42001.
Generate and manage essential operational tasks and workflows.
Prepare and deliver mock certificates to clients.
Develop accurate certificate data, adhering to EUDAMED guidance and specific national or regional government requirements.
Oversee comprehensive billing operations.
Manage Annual Management Fees across various applicable schemes.
Address invoice credit requests, handle client inquiries, and resolve issues effectively.
Run system reports and perform data validation to confirm the integrity of client information.
Process compliance-related data reports efficiently.
Maintain precise system scheduling and accurate task creation.
Generate quotes for specialized services such as notarization or translation.
Conduct the final quality control review for certificate releases before official issuance.
Administer processes for client cancellations, suspensions, rejections, and withdrawals.
Plan, prioritize, and execute tasks meticulously, always considering client needs and Service Level Agreements (SLAs).
Field client inquiries and provide timely, appropriate responses.
Support business units in the successful adoption of new processes and systems through User Acceptance Testing (UAT).
Collaborate effectively with multiple internal teams and stakeholders within our regulatory services division to deliver essential services.
