Job Purpose
The Sales Administrator is responsible for providing comprehensive sales administration support to the Sales Team, Sales Coordinators, and Joint Venture (JV) Partners. This role manages the entire sales administration lifecycle, ensuring that all sales documentation, client records, payment tracking, legal processes, and handover requirements are accurately managed from reservation through to completion. You will maintain the integrity of ERP/CRM systems and deliver an exceptional customer experience throughout the home-buying journey.
Scope of the Role
The Sales Administration function ensures that every property transaction progresses efficiently from reservation to final handover. This role provides complete visibility of the sales pipeline by monitoring client documentation, payment milestones, contract execution, unit status, and handover readiness. Working closely with Sales, Finance, Legal, Estate Management, Operations, and JV Partners, the Sales Administrator ensures compliance with company policies, contractual obligations, and statutory requirements.
Key Responsibilities and Duties
- Process Custodianship: Act as the primary custodian of the sales administration process, ensuring every transaction progresses smoothly from initial reservation to final property handover.
- Documentation Management: Prepare, review, coordinate, and maintain all vital sales documents, including Reservation Forms, Letters of Offer, Sale Agreements, Lease Agreements, completion documents, and related contractual agreements.
- Client File Accuracy: Maintain complete, up-to-date, and secure client files, ensuring all necessary documentation is executed, filed properly, and easily accessible.
- Pipeline Tracking: Maintain comprehensive trackers showing each client's documentation status and milestones within the sales process, proactively following up on outstanding documents.
- ERP/CRM System Integrity: Review and verify all sales documentation before entering details into the company's ERP/CRM system to ensure complete accuracy and alignment with corporate procedures.
