Key Responsibilities
As the Executive Assistant, you will play a pivotal role in supporting executive leadership, managing daily administrative functions, and ensuring seamless communication across departments. Your core duties will include:
- Calendar & Schedule Management: Efficiently manage the Executive's calendar, appointments, and meeting schedules.
- Meeting Preparation: Prepare comprehensive meeting agendas, take accurate minutes, and track follow-up action points.
- Information Management: Handle highly confidential correspondence, reports, and official company documents with the utmost discretion.
- Communication Gatekeeping: Screen incoming calls, emails, and visitors, ensuring timely responses and appropriate follow-up actions.
- Stakeholder Coordination: Coordinate crucial meetings with clients, consultants, contractors, and internal departments.
- Documentation & Reporting: Prepare professional presentations, reports, business letters, and other essential documentation.
- Task Tracking: Track assignments and ensure the timely execution of directives issued by Management.
- Filing System Maintenance: Maintain a systematic and organized filing system for both physical and electronic records.
- Event Management: Coordinate company events, executive meetings, and on-site visits where required.
- Liaison Duties: Act as a reliable point of contact between internal and external stakeholders and the Executive.
- Research: Conduct research and compile data to support strategic business decisions.
- General Administration: Perform other administrative duties as assigned by Management.
Qualifications and Experience
To succeed in this role, candidates must meet the following criteria:
- Education: Possession of a Bachelor’s Degree from a recognized tertiary institution.
- Experience: A minimum of 4 to 5 years of proven experience in an Executive Assistant, Personal Assistant, or senior administrative role.
- Skills: Strong organizational and time-management skills, exceptional verbal and written communication abilities, proficiency in Microsoft Office Suite, and the ability to multitask effectively under pressure.
