Role Overview
The successful candidate for the Project Assistant Secretary position will play a crucial role in providing comprehensive administrative and secretarial support to the Agriculture Development Manager and the broader project team. This position is vital to ensuring efficient documentation, smooth communication, and seamless coordination of project activities on-site.
Key Duties and Responsibilities
As a Project Assistant Secretary, your day-to-day responsibilities will include:
- Document Management: Managing project documentation, filing systems, and ensuring proper storage and retrieval of critical project records.
- Meeting Coordination: Preparing meeting agendas, scheduling meetings, and taking accurate minutes of meetings for distribution and tracking.
- Schedule & Calendar Management: Maintaining detailed schedules and calendars for project milestones, deadlines, and key activities.
- Correspondence Management: Drafting, preparing, and distributing both internal and external correspondence.
- Project Tracking: Assisting the project team in tracking deliverables, timelines, and reporting progress.
- Logistical Support: Providing vital support for procurement and logistics documentation to keep operations running smoothly.
- Confidentiality: Handling sensitive information with discretion, maintaining maximum confidentiality at all times.
Educational Qualifications and Work Experience
To succeed in this role, applicants must possess the following qualifications:
- A minimum of a Bachelor of Science (B.Sc.) degree in Business Administration, Office Management, or a related field.
- At least three (3) years of relevant experience in Business Administration or a similar administrative support discipline.
- Proficiency in office applications (such as Microsoft Office Suite) and strong time-management capabilities.
