About the Role: Procurement & Admin Officer

We are seeking a highly organized and proactive Procurement & Admin Officer to join our esteemed team. This pivotal role is central to ensuring the smooth and efficient operation of our facilities by managing critical procurement, logistics, and administrative functions. The successful candidate will be instrumental in maintaining our high standards of service delivery by guaranteeing the timely availability of necessary goods and services, optimizing costs, and supporting overall facility management.

Main Duties and Responsibilities

Procurement Management:

  • Source and procure goods, materials, equipment, and services in strict adherence to company policies and standards.
  • Obtain, meticulously evaluate, and compare quotations from various suppliers to ensure best value.
  • Negotiate competitive pricing, favorable contracts, and optimal delivery terms to achieve significant cost savings and operational efficiency.
  • Prepare and process purchase orders with accuracy and manage entire procurement cycles from initiation to completion.
  • Maintain comprehensive procurement records, update supplier databases, and ensure all documentation is accurate and accessible.
  • Monitor inventory levels proactively and coordinate replenishment strategies to prevent shortages and ensure continuous operations.
  • Evaluate supplier performance regularly and foster strong, productive vendor relationships.
  • Ensure all procurement activities adhere strictly to established budgets, internal control guidelines, and company policies.
  • Support contract administration processes and oversee vendor performance to ensure compliance and quality.

Logistics Management:

  • Coordinate the efficient transportation and timely delivery of goods and equipment to various locations as required.
  • Manage relationships with logistics providers and couriers, ensuring reliable and cost-effective services.
  • Track shipments rigorously to guarantee on-time delivery and proactively address any potential delays.
  • Oversee company vehicle usage, including scheduling maintenance, repairs, ensuring proper licensing, and maintaining accurate documentation.
  • Arrange travel and transportation logistics for staff and business activities, ensuring seamless movements.
  • Ensure proper inventory control and meticulous stock management across all relevant areas.
  • Prepare detailed logistics reports and maintain accurate records for analysis and compliance.
  • Resolve delivery and logistics-related issues promptly and effectively to minimize disruptions.

Janitorial Services Administration:

  • Develop, review, and monitor comprehensive cleaning schedules and checklists to maintain impeccable hygiene standards.
  • Coordinate and supervise cleaning activities across all facilities, ensuring adherence to established standards and protocols.
  • Conduct regular inspections of cleaning tasks and facility hygiene to ensure consistent high quality.
  • Collaborate effectively with Janitorial Team Leads to implement and refine cleaning programs and initiatives.
  • Support the onboarding, orientation, and performance monitoring of janitorial staff, fostering a high-performing team.
  • Ensure the consistent availability and proper use of cleaning materials and equipment, promoting safety and efficiency.

Administrative Support:

  • Maintain accurate administrative records, reports, and documentation, ensuring data integrity and accessibility.
  • Prepare and submit detailed procurement, logistics, facilities, and service performance reports for management review.
  • Provide timely and accurate information to management and relevant stakeholders, facilitating informed decision-making.
  • Coordinate various facility-related administrative activities and provide comprehensive support for ongoing projects.
  • Actively participate in departmental meetings, training sessions, and corporate engagements, contributing to team success.
  • Promote continuous improvement initiatives across procurement, logistics, and administration functions to enhance efficiency and effectiveness.

Education, Qualifications & Experience

Education:

  • A Bachelor's Degree or Higher National Diploma (HND) in Business Administration, Procurement, Supply Chain Management, Logistics, Management, or a closely related field is required.

Postgraduate Qualifications:

  • A Postgraduate or Master’s degree will be considered a significant advantage.

Experience:

  • Candidates must possess 3–5 years of progressive experience in procurement, logistics, administration, or facility management.
  • Prior experience within the healthcare, hospitality, or corporate services sectors is highly advantageous.
