The Role: Personal Assistant

Key Responsibilities and Duties

Your day-to-day responsibilities will be diverse and engaging, bridging the gap between professional office management and personal lifestyle support:

1. Administrative and Executive Support

  • Manage the Principal's daily calendar, coordinating appointments, meetings, and complex travel arrangements.
  • Screen and manage incoming emails, phone calls, and official correspondence.
  • Prepare high-quality reports, presentations, letters, and other essential business documents.
  • Organize executive meetings, take precise minutes, and follow up diligently on action items.
  • Maintain a reliable physical and digital filing system.
  • Handle highly sensitive and confidential business and personal information with utmost discretion.

2. Personal Assistance and Lifestyle Management

  • Execute personal errands including shopping, banking, pickups, and deliveries.
  • Procure household items, coordinate home maintenance services, and manage vendors.
  • Oversee personal administrative tasks such as bill payments, subscriptions, and renewals.
  • Coordinate personal and family schedules, including medical appointments and lifestyle bookings.
  • Provide general daily support to optimize the Principal's focus and reduce workload.

3. Communication and Stakeholder Engagement

  • Serve as the dedicated first point of contact for the Principal's office.
  • Draft, review, and respond to communications as directed.
  • Liaise efficiently between the Principal and staff, clients, partners, and external stakeholders.
  • Represent the Principal professionally in external interactions when required.

4. Operational Efficiency

  • Anticipate the Principal's professional and personal needs to resolve potential issues proactively.
  • Identify operational gaps and propose practical, effective solutions.
  • Provide regular, clear updates on tasks, projects, schedules, and ongoing administrative actions.

Requirements and Qualifications

To succeed in this role, candidates must possess the following qualifications and experience:

  • Education: Bachelor's Degree in Business Administration, Communication, Social Sciences, or a related discipline.
  • Experience: Must have 2 to 4 years of proven experience specifically as a Personal Assistant or Executive Assistant.
  • Tech Savviness: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital communication/productivity tools.
  • Communication: Outstanding written and verbal communication skills.
  • Adaptability: Demonstrated ability to prioritize tasks, multitask, and work effectively under pressure in a fast-paced environment.
