We are seeking a diligent and enthusiastic Office Assistant to be the backbone of our administrative operations. This role is perfect for someone who thrives in a fast-paced environment, possesses exceptional organizational skills, and is committed to supporting a high-performing team.
Your Essential Role at EMRC:
- Front Office Management: Be the welcoming face of EMRC, greeting visitors, directing them appropriately, and managing incoming calls with professionalism. You will maintain a tidy and presentable reception and general office area.
- Document Management: Efficiently handle a variety of documents including typing letters, memos, and reports. Responsibilities also include photocopying, scanning, printing, binding, and meticulously maintaining both physical and electronic filing systems.
- Office Provisions & Logistics: Take charge of procuring all necessary office provisions such as water, tea, coffee, cleaning items, and snacks. You will monitor and replenish stationery and consumables, maintaining simple purchase records and submitting receipts.
- Official Errands: Execute official office errands to banks, regulators, clients, vendors, and courier services, ensuring prompt delivery and return of documents with proper acknowledgements.
- Meeting Coordination: Assist in booking and confirming meetings, preparing meeting rooms, setting up basic meeting materials (attendance sheets, printouts), and providing refreshments as required.
- Travel Arrangements: Organize all office trips, both local and out-of-town, for staff and management. This includes booking flights, hotels, transport, preparing travel itineraries, and following up with vendors to ensure seamless logistics.
- Administrative & Financial Support: Work closely with the Head of Finance & Admin and the Accountant on foundational admin/finance tasks. This includes submitting and filing receipts, invoices, and payment support documents, assisting with petty cash disbursement and recording under supervision, and helping to chase internal approvals and signatures.
- Record Keeping: Maintain visitors' registers, incoming/outgoing mail records, updated contact lists for stakeholders, and simple asset and equipment registers.
- Office Maintenance Liaison: Promptly report any faults (lights, AC, internet, printer) to the appropriate personnel and liaise with support staff to ensure a clean and orderly office environment.
- Confidentiality & Professionalism: Handle all official information and documents with the utmost confidentiality, always maintaining a courteous, respectful, and professional demeanor.
Who We Are Looking For (Your Profile):
- Educational Background: A minimum of an HND in Business Administration or a related discipline.
- Experience: 1-3 years of proven experience in office administration.
- Technical Skills: Basic computer proficiency, including MS Word, Excel, emailing, scanning, and printing.
- Core Competencies: Exceptional attention to detail, reliability, and unwavering integrity.
- Communication & Interpersonal Skills: Strong verbal and written communication abilities with excellent interpersonal skills, capable of effective cross-functional collaboration.
