We are currently seeking a meticulous and dedicated Inventory Officer to join our dynamic team. This pivotal role is essential for ensuring the smooth and accurate management of our valuable inventory, contributing directly to our operational excellence and customer satisfaction.
Job Summary
As an Inventory Officer, you will be at the heart of our inventory operations, responsible for the day-to-day management of stock from reception to issuance. Your primary objective will be to ensure the accuracy of all inventory records, meticulous documentation of stock movements, and efficient organization of our warehouse facilities. This role is crucial in minimizing losses, optimizing stock levels, and maintaining seamless operations across our distribution and retail network.
Key Responsibilities
- Inventory Receiving & Verification: Accurately receive, inspect, and verify all incoming inventory against purchase orders and delivery documentation to ensure compliance and quality.
- Record Keeping & System Management: Maintain precise transaction records and ensure all stock balances are current within the inventory system. Promptly update ERP/inventory software to reflect accurate stock levels and flag any system discrepancies.
- Stock Organization & Monitoring: Label, store, and meticulously organize inventory in accordance with company standards. Proactively monitor stock levels and report any low stock situations to relevant departments.
- Stock Issuance & Transfers: Prepare and process stock requisitions efficiently. Manage and document transfers of goods between the warehouse and our various retail stores.
- Returns & Documentation: Accurately receive and document returned goods, ensuring all stock movement paperwork is complete, properly filed, and easily retrievable.
- Audits & Reconciliations: Actively participate in regular stock counts, cycle counts, and audits. Identify and report any discrepancies promptly, supporting investigations into shortages, damages, or losses, and assisting with comprehensive reconciliations.
- Warehouse Management: Maintain a clean, organized, and safe warehouse environment, adhering to all safety protocols. Ensure proper handling of fragile and high-value items.
- Procedure Adherence: Consistently follow FIFO (First In, First Out) procedures where applicable to manage stock rotation effectively.
- Reporting & Communication: Maintain robust records and filing systems. Prepare essential documentation for issues, receipts, transfers, and adjustments. Assist in preparing various inventory reports and promptly report damaged, expired, or obsolete stock.
- Policy Compliance & Collaboration: Strictly adhere to all inventory, safety, security, and confidentiality policies. Collaborate effectively with Procurement, Warehouse, Retail, Finance, and Operations teams, offering support to stores and during audits.
Requirements
- Education: A Bachelor's degree or HND in Logistics, Supply Chain Management, Business Administration, Accounting, or a related field.
- Experience: 1 to 3 years of progressive experience in inventory management, warehouse operations, or stock control. Experience within the retail or FMCG (Fast-Moving Consumer Goods) sector is a distinct advantage.
- Technical Skills: Basic knowledge of inventory control principles. Proficiency in Microsoft Excel and other MS Office applications is required. Prior experience with ERP systems (e.g., Odoo, SAP, Oracle, Dynamics) will be a significant asset.
- Core Skills: Excellent numerical aptitude, strong record-keeping abilities, and meticulous documentation skills.

Working Conditions
This role is primarily warehouse-based, requiring occasional visits to retail stores. Physical demands include standing, walking, bending, and lifting. Extended hours may be required during critical periods such as stock counts, and occasional travel to various outlets may be necessary.
