To support our rapidly growing merchant services and hardware distribution network, we are currently seeking a highly organized and detail-oriented Inventory & Logistics Officer to join our team.
Role Summary
As the Inventory & Logistics Officer, you will report directly to the Head, POS & Hardware Channels. In this role, you will play a critical part in managing Kolomoni’s POS device inventory and logistics operations. Your primary objective will be ensuring that all terminals and accessories are accurately received, recorded, securely stored, dispatched, tracked, and reconciled. This role is crucial for supporting smooth, on-time field deployments and maintaining total traceability from the warehouse to our merchants, agents, and back again through returns or repairs.
You will work closely with key internal stakeholders, including the Hardware Operations Officer, After-sales & Repair Lead, Terminal Performance Analyst, Regional Managers, State Coordinators, Finance team, and Internal Audit.
Key Outcomes
- Uncompromising Stock Accuracy: Maintain precise, serial-level tracking with minimal to zero stock variance.
- Reliable Delivery: Ensure prompt and efficient dispatch to regions and states to support business development objectives.
- Robust Custody Controls: Maintain impeccable documentation and authorizations for all physical device movements.
- Seamless Returns Handling: Ensure quick, organized processing of retrievals, faulty terminals, and RMA (Return Merchandise Authorization) flows.
- Clear Operational Visibility: Produce clear weekly reports outlining inventory positions, aging stock, movements, and exceptions.
Core Responsibilities
1. Inventory Management & Warehouse Control
- Receive incoming terminals and accessories from vendors, systematically verifying quantities, serial numbers, and physical conditions.
- Maintain and update an accurate inventory register details containing serial numbers, device status, current location, and assigned custodians.
- Organize and securely store hardware by category (e.g., brand-new, active-ready, faulty, repaired, retrieved, RMA, and accessories).
- Perform routine cycle counts and provide hands-on support during monthly and quarterly stock audits.
2. Dispatch & Logistics Coordination
- Process authorized requests for devices and prepare terminal batches for dispatch to regional and state teams.
- Liaise and coordinate with external logistics and courier partners to track shipments from dispatch to confirmed delivery.
- Manage and archive comprehensive dispatch documentation, including waybills, allocation forms, custody handover notes, and proof of delivery (POD).
- Ensure all terminals are properly packaged, labeled, and accompanied by necessary accessories (chargers, paper rolls, SIM cards, etc.).
3. Returns, Retrievals & RMA Flow
- Receive, inspect, and immediately log all returned, retrieved, or faulty POS terminals.
- Route devices to their appropriate channels: redeployment-ready, diagnostics/repairs, warranty/RMA, or decommissioning.
- Track RMA batches dispatched to external hardware vendors and reconcile incoming replacement devices.
- Generate regular aging reports for pending returns, unresolved RMAs, and stuck devices.
4. Controls, Documentation & Compliance
- Enforce strict maker-checker controls for all key warehouse actions, such as dispatch approvals, inventory adjustments, and write-offs.
- Maintain transparent, audit-ready trails for all device movements.
- Identify and escalate risks early, including missing equipment, unexplained variances, repeated delivery delays, or unusual stock movements.
5. Reporting & Continuous Improvement
- Compile and submit weekly reports on stock-on-hand, dispatch pipelines, inventory variances, and RMA statuses.
- Identify process gaps and contribute to optimizing Standard Operating Procedures (SOPs) for warehouse turnaround time and data accuracy.

- Inventory accuracy rate (physical vs. system stock)
- Dispatch turnaround time (from approval to shipping)
- Delivery success rate (on-time and fully confirmed deliveries)
- Returns processing speed (receipt to routing)
- RMA turnaround times and backlog management
- Stock variance or shrinkage rate
- Completeness of custody and delivery documentation
Job Requirements
- Experience: 2 to 5+ years of hands-on experience in warehouse operations, inventory control, logistics, or supply chain management. Background within the tech, telecom, or fintech space is highly preferred.
- Attention to Detail: Exceptional eye for detail with experience managing serial-number level inventory.
- Technical Skills: Comfortable using spreadsheets (Excel/Google Sheets) and basic inventory logs or management systems.
- Integrity: Unquestionable professional integrity and a highly disciplined approach to compliance and audit controls.
- Collaboration: Excellent communication skills to coordinate effectively with external delivery partners and cross-functional internal teams.
Preferred Qualifications:
- Prior experience managing POS terminals, mobile hardware, or consumer electronics inventory in Nigeria.
- Familiarity with warranty structures, RMA procedures, and vendor return cycles.
- Familiarity with procurement invoicing and supporting audit prep.
Working Conditions
- This is primarily a warehouse-based role, with periods of high activity during nationwide rollouts and deployments.
- Occasional travel may be required to support regional stock audits or physical hub setups.
