The Role: Controls Coordinator / Administrator II
As a Controls Coordinator / Administrator II, you will play a vital role in ensuring compliance, integrity, and smooth data management across the group. Reporting directly to the Project Controls Advisor, you will be responsible for administering the controls calendar, managing system access, and maintaining business control KPIs with a high degree of precision.
Key Responsibilities
In this role, your daily and monthly responsibilities will span across compliance advocacy, records management, and contract administration. Key duties include:
- Compliance and Controls Integrity: Promoting Controls Integrity (CI) and raising control awareness among staff. You will identify process changes, ensure FCPA requirements are performed/approved, and assist the Business Manager with budgeting, planning, and maintaining controls catalogs.
- Audits and Reporting: Supporting internal and external audits, coordinating representation letters, maintaining training registers, conducting End User Computing Risk Assessments, and preparing monthly KPI scorecards.
- Information and Records Management: Serving as the Departmental Records Contact and Subject Matter Expert (SME). You will organize departmental shared drives, manage physical and electronic files according to retention schedules, and safeguard vital records.
- Contract and Vendor Administration: Acting as the focal point for departmental contract documentation, monitoring purchase orders, tracking expenditures, and coordinating contract development with the Procurement team.
- Systems Administration: Acting as the Departmental SharePoint Site Collection Administrator and updating the internal systems regularly.
Required Skills and Qualifications
ABNL Limited is looking for a self-motivated professional with the following qualifications:
- Education: Bachelor's Degree in Information Management, Business, Economics, or a related field.
- Experience: Prior experience in information management, record keeping, administration, and basic data analysis.
- Technical Skills: Advanced knowledge of MS Excel (including data validation, charting, and pivot tables) and intermediate skills in MS Office (Word, PowerPoint, Publisher). Knowledge of MS Access is highly desirable.
- Soft Skills: Excellent communication and presentation skills in English, strong interpersonal influencing skills, and the ability to work effectively within virtual, multi-cultural team environments.
